Keep the steps connected
Keep your bank receipt, approved quote, purchase confirmation and Bitcoin delivery record together. This guide explains what each record proves and includes a blank organizer you can download or print.

A wire-funded Bitcoin purchase has a bank payment, a provider purchase and a later Bitcoin transfer. Each can have its own reference and status. Keeping them together helps you explain a question without confusing a bank receipt with a completed purchase or blockchain delivery.
For our wire purchase process, keep the request reference, bank confirmation, final quote you approved, purchase confirmation and any Bitcoin delivery reference. Save originals from the bank and your account where available.
The organizer below is blank. It is not an official receipt, payment instruction or transaction statement, and it does not verify a purchase.
Download a blank spreadsheet-friendly CSV or print a paper worksheet. Neither option asks you to enter purchase information on this website.
| Record | Details to save | Why it helps |
|---|---|---|
| Wire request | Request reference and date | Connects your communication and funding instructions. |
| Bank payment | Bank confirmation reference, send date and amount | Shows the bank payment status recorded by your bank. |
| Approved quote | Approval date, price, fees and net BTC | Shows the purchase terms you approved. |
| Purchase confirmation | Order reference and completion status | Records the provider purchase step. |
| Bitcoin delivery | Network, transaction ID and receiving output | Connects the purchase with the on-chain delivery. |
| Follow-up | Support reference and unresolved question | Keeps a clear record of what remains to be checked. |
Store completed records privately. Do not include passwords, full bank account numbers, payment instructions, private keys or recovery words.
| Record | Useful evidence | What it does not prove |
|---|---|---|
| Bank receipt | The amount, reference and send or processing status recorded by the bank. | That the receiving provider has matched funds or bought Bitcoin. |
| Approved quote | The price, quantity and charges presented for your approval. | That the purchase or Bitcoin transfer has completed. |
| Purchase confirmation | The provider has recorded the purchase under its terms. | That an on-chain transfer is already broadcast or confirmed. |
| Bitcoin transaction ID | A reference used to inspect a transaction on the correct network. | Who owns an address or whether a receiving service has credited its user. |
| Receiving balance | The wallet or service displays the receipt under its own rules. | That every separate service restriction has been removed. |
Keep the date, time zone and source of each record. A time shown by your bank, provider and wallet may use different zones. Record the status as it actually appears rather than relabeling “sent” as “received.”
Use this to identify the purchase with the provider.
Match the payment amount and date with the request.
Connect the accepted quote with the completed purchase.
Check the receiving output and network for that purchase.
A reference used in the bank memo can differ from the bank's own tracking identifier. A purchase order reference can differ from the Bitcoin transaction ID. Save their labels along with their values.
Do not put bank passwords, full account numbers, payment instructions, private keys or wallet recovery words in this organizer. If support needs a sensitive document, use the secure submission method confirmed for your request.
Record the wire amount and any bank charge paid separately. Keep the quote's service and other charges with the purchase record. A bank fee added separately increases cash outlay; it is not automatically deducted from the wire.
Record the net BTC due under the approved purchase and the amount sent to your receiving output. A blockchain transaction may pay several outputs, so its total value may not equal your receipt.
Keep the original quote even if a later market price differs. A wallet's current dollar estimate can change while the BTC quantity remains the same. For a discrepancy, compare the approved terms and actual delivery before assuming a missing amount.
Read the wire fee explanation and Bitcoin receiving guide. This organizer supports purchase tracking; it is not a tax calculation or a determination of legal record-retention requirements.
For example: “My bank shows the wire as sent on [date]. My request is [reference]. Has the payment been received and matched?” This is a fictional question template, not a customer message.
If you suspect a payment was sent incorrectly, contact your bank immediately and then official support. An organized folder does not replace time-sensitive action. Do not send another payment until the status of the first is clear.
A screenshot can help explain a question, but it may omit status or identifying details. Save original bank and provider records where available and follow the requested evidence requirements.
It can expose public blockchain activity and connect it to you. Share only what is needed with the intended recipient; do not post your full purchase folder publicly.
No. The download is a blank CSV file and the print version is a blank worksheet. This page has no purchase-record entry or upload form.
Ask whether Bitcoin has been broadcast yet. There may still be a bank, review, approval or purchase step to complete first.
